Member Services

 

 

It is recommended that all members familiarize themselves with the By-Laws of the Club and the following rules:

GENERAL

1. The Club and facilities will be closed on Mondays except for holidays in which event the Club will be closed on the day following. On the days when the Club is closed, no member may use any Club facility except rented rooms.

2. MEMBERS

    A. Regular and Tennis Family members shall have priority rights and privileges to the golf course and tennis courts.

    B. A Member-In-Waiting shall be one who has been elected to Regular or Tennis Family membership subject to the occurrence of a vacancy in the Regular or Tennis Family membership. The obligation shall be that of a Regular or Tennis Family member and the privileges during such waiting period shall be those of a House member and such other privileges as may be prescribed by the Board of Governors from time to time.

    C. Auxiliary members are females over 18 years of age, who are widows of deceased Regular or Tennis Family members for so long as they remain unmarried, or ex-wives of past members.

    D. Junior members are sons, daughters and/or sons-in-law, between 18 to 37 years of age, of a Regular or Tennis family member or of a deceased Regular or Tennis Family member whose spouse continues as an Auxiliary member.

    E. Senior members must be at least 70 years of age and have been a member of the Club for at least 25 years or at least 80 years of age with the number of years at the Club and age equal to 100. They have year-round full Club privileges.

    F. House membership shall be restricted to Golf or Regular Tennis Members who have been members in good standing for ten (10) years. They are entitled to full house and pool privileges for the family (same as Regular Family Members) subject to house and pool regulations. House Members have no golf or tennis privileges except as guests.

    G. Non-Resident membership shall be limited to persons who were Regular or Tennis Family members for a period of 10 years and who have moved their principal residence to a point at least one hundred miles from Cold Spring Harbor, New York. They are social members for four months of their choice. With due notice of the Golf Chairman, they may select two of their four months to play golf. Their obligations are as may be prescribed by the Board of Governors from time to time.

    H. Student members are unmarried sons or daughters of Regular or Tennis Family members or Auxiliary members, between the ages of 18 and 25, who attend undergraduate educational institutions on a full time basis.

    I. Children, for purpose set forth in these rules, are children of Regular or Tennis Family members under the age of 18.

ATTIRE

Members must be properly attired at all times, for the time of day and location within the Club:

House

    A. In the Dining Room, after 7 PM, men shall wear:

      1. Sundays - Casual, or as posted.

      2. Wednesdays - Casual, or as posted.

      3. Fridays - Jacket required, or as posted.

      4. Saturdays & Dinner Dance Nights - Jackets and tie, or as posted.

    B. Ladies shall wear such clothes as are appropriate for and complimentary to the clothes for the men.

    C. Spiked shoes may be worn on the lower level only.

    D. In the Grill Room:

      1. Golf and tennis attire are acceptable.

      2. Swimming attire may only be worn if dry and completely covered up.

2. Pool

    A. Bathing suit without cover-up may be worn at the Pool and Snack Bar only.

    B. Footwear and covering over bathing attire must be worn in going to and from the pool.

    C. Spiked golf shoes are strictly prohibited from the pool area.

3. Golf Course

    Dress code in effect from April 15th to October 1st:
    A. Men:
    1. Collared shirts with sleeves
    2. Slacks or shorts of acceptable lengths (no shorter than 4" above the knee)
    3. Unacceptable (included but not limited to): Tee-shirts, tank tops, tennis attire, swimwear, warm-ups, sweatpants, denim or jeans of any kind or color, athletic shorts and any other items deemed inappropriate by the golf professional.
    4. Shirts must remain tucked inside the waistband unless specifically designed to be an over-blouse.
    B. Women:
    1. Golf dresses, slacks or golf shorts of acceptable length (no shorter than 4" above the knee).
    2. Shirts, blouses or golf tops are acceptable as long as any top with a shoulder strap has a strap width of at least 3".
    3. Unacceptable (included but not limited to): Tennis attire, swimwear, tights, denim or jeans of any kind or color, athletic shorts and short shorts. No bare midriff.
    C. Footwear: All footwear worn on the golf course or practice facilities must be spikeless. Please inform your guests and allow time for replacement if there is a need.
    Note: Not all merchandise sold in our shops may be acceptable for use on the golf course or practice areas. If you have any concerns, please check first.

4. Tennis Courts

    A. All players must wear proper tennis attire and tennis shoes when using tennis courts.

GUESTS

    1. Members are, at all times, responsible for the conduct, actions and dress of their guests.

    2. All guests must register with Starter

    3. All tennis and pool guests must register at the reception desk in the main clubhouse.

    4. Guest charges are as follows:

      A. GOLF Weekdays - $60.00 Weekends - $70.00
      (Fridays - $70.00 from Memorial Day through Labor Day)

      B. TENNIS Weekdays - $6.00 Weekends - $15.00

      C. POOL Weekdays - $5.00 Weekends - $10.00

      D. Guest charges for the pool are waived for tennis and/or golf guests.

    5. No guests, under the age of 10, are permitted except for grandchildren of members.

    6. Grandchildren between the ages of 3 and 12 are permitted as guests subject to effective guest and children’s rules. They must be accompanied by an adult member at all times.

    7. Golf

      A. No guests may play the golf course more than twice in any calendar month, with only one permitted on Saturday, Sunday or Holiday and the other time permitted during weekdays. (Member-Guest Tournaments are not included in this restriction)

      B. No member may have more than 3 guests on a weekday, the member must play with the guests.

      C. A member may have only 1 guest on a Saturday, Sunday or Holiday where permitted. Husband and wife may have one guest each.

    8. Tennis

      A. No guest may play on the tennis courts more than twice in any calendar month. (Member-Guest Tournaments are not included in this restriction)

      B. No member may have more than 3 guests on a weekday, the member must play with the guests.

      C. Members may not invite more than 6 guests per month.

    9. Pool

      A. No guest may be invited more than twice in any calendar month.

      B. Members may not invite more than 2 guests on Saturday, Sunday or Holidays.

      C. There will be no charge for pool guests on Mother’s Day and Father’s Day.

      D. There will be no charge for guests in the pool area who do not wear bathing attire.

      E. Grandchildren are permitted as guests, subject to effective guest, house and children’s rules. An adult member must accompany them at all times. Children of members and grandchildren under 3 years of age may not use the main pool areas but may use the kiddie pool and designated play area.

    10. Dining Room and Card Rooms

      No guest may be invited more than twice in any calendar month. Application for variation of the foregoing rules may be requested of the appropriate committee chairman, the president, or vice-president, for special circumstances. Guests are permitted for gaming events (cards, mahjong, etc.) no more thsn once a week.

MEMBER’S CHILDREN AND GRANDCHILDREN

    Children:

      1. "Children", for purposes set forth, are children under the age of 18 of Regular or Family members.

      2. Children of any age are permitted the use of designated areas at the pool at all times, including pool food areas. An adult must accompany them.

      3. Children under the age of three are allowed to visit the Club on Mother’s Day, Father’s Day, during family swim meets for getaway dinners and at such times when children of that age are specifically invited. An adult member must accompany them.

      4. All children may use the Grill Room off season (before Memorial Day weekend and after Labor Day weekend) in designated areas. In season, they may not use the Grill Room between 11:30 AM and 2:00 PM. The Mixed Card Room is available to them for lunch between these hours. An adult member must accompany them.

      5. Children over the age of 10 are permitted to use the Grill Room for lunch at any time only if accompanied by an adult member. They may attend dinner on weekdays and Sunday evenings. Children over the age of 15 are also permitted for dinner on Friday and Saturday evenings.

    Grandchildren:

    Grandchildren are considered to be guests and as such must abide by the guest policies unless specific functions dictate otherwise and are so publicized.

The following rules apply to all children - member’s children and grandchildren:

    1. No one under the age of 10 is permitted in the Ladies’ or Men’s locker rooms. Dressing facilities are available at the pool and diaper changing areas where provided.

    2. Nurses and governesses are not permitted at the Club.

    3. No strollers are permitted on the lower level of the Clubhouse. Play pens are not permitted in any area.

    4. The exercise room may not be used by anyone under the age of 18.

    5. The golf practice range and putting green areas are available only to those children accompanied by an adult member.

    6. No one under the age of 21 is permitted anywhere in the bar area.

PARKING

    1. Automobiles must be parked in the parking field only. Fire regulations require strict observance of this rule. The front driveways of the Club must be kept clear at all times.

      A. On occasions when parking attendants are on duty, they will park your car and bring it to you as a convenience. If such service is requested, it must be accepted by all members with the understanding that the Club assumes no responsibility or liability for personal injury or property damage of any kind in connection with this service. When no parking attendant is on duty, please park your care properly in the lined space so as not to create a traffic problem.

EMPLOYEES AND TIPPING

    1. Tipping of any Club employee other than a chambermaid is strictly prohibited. Members shall not tip or present gratuities in any form to any employee at any time for any services.

    Violation of this rule will subject the members to disciplinary action.

    Employees who accept tips or gratuities are subject to immediate dismissal.

    2. Guest charges include tips for locker room attendants. No additional tip may be given.

    3. No member shall reprimand any Club employee directly. All complaints must be made to the chairman of the appropriate committee.

    4. No members shall send employees on errands outside the Club grounds, nor shall they engage the services of any Club staff for personal use.

HOUSE RULES

    1. Members must write food and drink orders before being served at any Club facility. Account numbers are to be written clearly in addition to signatures.

    2. Children, under age 21, are not permitted at any of the bar facilities.

    3. Members partaking of hors d’oeuvres and smorgasbord during cocktail hour in the Upper Lounge, who do not remain for dinner, will be charged $15.00 per person.

    4. Reservations made for Theme dinners must be canceled by noon of the date of the affair or will result in a penalty charge of $15.00 per person if not honored. A charge of 50% of the cost of special dinner dances and entertainment events will be charged for no-shows or if not cancelled three days prior to the event..

    Dinner or Dinner Dance reservations will be accepted on a "first come basis".

    5. Members are not permitted in the kitchen, except with permission of the Manager or House Chairman.

    6. Suggestions concerning the comfort and convenience of the members are welcome, preferably in writing, signed and addressed to the House Committee. Members may not make direct requests of the Manager or staff for special services. Such requests shall be made through the House chairman or sub committee head.

    7. Food served in any of the Club facilities must be consumed in the area where served. Members shall not carry food from one area of the Club to another. Beverages (including coffee) may be ordered from and served by waitresses in all Card Rooms.

    8. No food, whatsoever, shall be carried from the premises on buffet or barbecue dates.

    9. Smoking is not permitted.

    10. All cell phones must be put on vibrate in the Grill Room or Dining Room. Conversations may be conducted in other parts of the Club where members are not disturbed.

SWIMMING POOL RULES

    1. The New York State Sanitary Code will apply to those using the pool facility. Persons with a fever, cold, cough, inflamed eyes or any skin disease, wearing bandages or with any communicable disease must exclude themselves from use of the swimming pool.

    2. Pool hours will be posted. Use of the pool at any other time is strictly prohibited.

    3. Members must register themselves and their guests in the registration book at pool entrance.

    4. Spiked golf shoes may not be worn in the pool area.
    5. Food purchased at the Snack Bar must be eaten in that area only.
    6. Glassware or cans are not permitted in the pool area.
    7. Lifeguards are not babysitters. Children must be supervised at all times.
    8. No bats or hard balls in the pool facility.
    9. Children must be at least 3 years of age and fully toilet trained to use the pool.
    10. Diapers and swim diapers are not permissible

MISCELLANEOUS

    1. The Club is not responsible for loss of or damage to personal property of any kind belonging to members or their guests. Members and guests are encouraged to secure adequate personal insurance, and are encourage to proceed with their own insurance company in the event of a loss. A safe is provided in the office for the convenience of members but the Club assumes no liability for properly placed therein.

    2. Members or their guests shall reimburse the Club for damage or destruction of Club property. The amount to be paid shall be determined by the appropriate committee chairman.

    3. No notices, other than those dealing with official Club business, shall be posted on any bulletin board without the consent of the secretary or the chairman of the appropriate committee.

    4. Solicitation of funds of any purpose is not permitted at the Club without permission of the Board of Governors.

    5. Dogs and other pets are not permitted on the Club premises at any time.

GENERAL RULES OF GOLF

    1. U.S. Golf Association rules govern all play, except as modified by local rules. Copies of these rules will be made accessible to you, and our professional staff is available for interpretation and clarification.


    2. The starter, under the direction of the Golf Professional, and under the rules and schedules of the Golf Committee shall supervise the order of play.


    3. At the discretion of the Golf Committee, starting time reservation cards will be in effect for Fridays, Saturdays, Sundays and Holidays.


    A. Reservations may be made by singles, twosomes, threesomes or foursomes.


    B. Reservations will be made in men's locker room on Friday, Saturday, and Sunday for the following weekend or holiday - by filling out a card and leaving it in prescribed locations in locker room, no later than 1:30 PM on Saturday for Friday's times and 1:30 PM on Sunday for weekend times.


    C. Foursomes, who fail to be at the 1st and 10th tees on time, will lose all standing as to order of play and will have to wait for starter to fit them in.


    4. Those members wishing to play a second round of golf on the weekends must wait until after the entire field tees off.


    5. A. Certification Committee must authorize the use of the golf course to all golf members.


    B. No children, under the age of 16, will be permitted to drive golf carts.


    C. Children at driving range must give way to Regular members when crowded.


    6. Twosomes have no special status on the golf course. Players are encouraged to make groups of three or four.


    7. Instructions from rangers or marshals must be complied with.


    LOCAL RULES

    1. White stakes mark out of bounds.


    2. Roadways - All paved surfaces are considered obstructions - when artificial surface interferes with stance or swing, you are entitled to relief. Drop ball within club length of nearest relief - not nearer hole - no penalty.


    3. Teeing off 10th tee:


    A. Group coming off 9th green has right of way on 10th tee, unless there is one or more groups already on 10th tee, in which case original order of play shall prevail.


    B. Ball hitting wires or posts, play as it lies.


    4. Teeing off 13th tee:

    A. Ball hit into water to right of cart path shall be played as water hazard:
    Men - Drop ball on ladies' tee, playing 3.
    Ladies - Re-tee from ladies' tee, playing 3.

    B. Ball hit into water to left of cart path - men shall re-tee on men's tee playing 3.

    C. Ball driven over fence behind green is out of bounds.


    CADDIES
    1. Players must accept the caddies assigned by the caddymaster.

    2. Any complaints in regard to a caddy must be made to the caddymaster.

    GOLF COURSE
    (CARE, MODE AND SPEED OF PLAY)

    Members of the Golf Committee are empowered to enforce the Rules of Play on the golf course.

    1. Each member has a responsibility to assist in the conditioning of our course for the benefit of all.

    A. Replace divots in rough, as well as fairway.

    B. Repair ball marks on green.

    C. Exit the sand trap from the rear - do not walk up the face of a trap.

    D. Rake sand traps smoothly (make sure caddy does this).

    E. Carts should be parked no nearer than 30 feet to greens and in a location to afford quickest access to next tee.

    2. If any group fails to keep pace on the course and loses, in distance, one clear hole to the players in front, they must allow the group following to play through. The group following should insist on this right. Violation of this rule should be reported to the Golf Committee.

    3. Habitual offenders of slow play will be reported to the Golf Committee and will be dealt with according to circumstances.

    4. A player on the correct fairway has the right of way over a player whose ball is on the wrong fairway.

    5. Players looking for lost ball should call the group following to play through if they are ready and then resume search.
    (5 minutes - maximum search time).

    GENERAL RULES OF TENNIS

      1. "Prime Time" commences Saturday, Sunday and Holidays from 8:30 AM and continues until 11:30 AM. Only designated members may play during prime time. Guests are not allowed during prime time.

      2. Designated members are permitted to "roll over" during prime time.

      3. Designated members who have played from 8:30 AM to 10:00 AM may be "bumped" by other designated members during prime time, if the other designated members have not played. Bumping will be on a first on, first off basis, and that member must report to the pro to be placed in a game.

      4. If courts are not in use during prime time, non-designated players are permitted to use such courts and may not be bumped if they have played for more than 15 minutes past the official stating times of 8:30 AM and 10:00 AM.

      5. A waiting list, under the lottery system, will be provided for non-designated members seeking to play during prime time, when the courts are not being used by designated members.

      6. A non-designated member lottery will be used after 11:30 AM with preference given to those who have not played a full prime time session.

      7. All play time is limited to 1 1/2 hours for doubles and 1 hour for singles. Doubles takes precedence over singles.

      8. Reservations for courts on weekends at 2:30 PM and after may be made in person or by telephone after 11:30 AM by any member.

      9. Failure to cancel a reservation at least 1/2 hour prior to the scheduled starting time, will result in the loss of reservation privileges for a two-week period for the originator of the reservation.

      10. Tournament play will take precedence. However, women’s and mixed tournaments will not be played during prime time. Tournament time shall not be limited.

      11. Members shall be given right of first refusal to complete a foursome over the pro.

      12. The starter can only play when there is no member waiting and with the permission of the pro or a Tennis Committee member.

      13. Two players must be present when signing up during prime time. All four must be present at starting time.

      14. All courts, depending upon demand, will remain open until 6:30 PM, Friday, Saturday and Sunday without exception. No reservation will be honored after 5:00 PM on those days.

      15. Any Club member may reserve available weekday court time (9-5 Tuesday through Friday) for the members and their guests. This will be limited to 1 1/2 hours of play. Doubles takes precedence over singles. Play may continue longer subject to availability.

      16. Guests’ reservations may be made by phone or in person at any time.

      17. In all cases, Club sponsored "Special Tennis Events" take priority over reservations.

      18. Children, ages 12 and over, are permitted to play after 1:00 PM, based on court availability and no members waiting to play.

      19. Prime time for tennis starts first weekend in May and ends last weekend in September.

      20. If prime starting time is delayed by the pro on any court, prime time will be extended to a minimum of 1 1/2 hours from when the court opens for play.

      21. During prime time, only Regular Tennis and Trial Tennis members, designated as "Prime Time Players", may use the courts. All other members may use the courts when available.

      22. Proper tennis attire must be worn at all times.
